Reservations Manager
is our Windows based property management system
for use in small to medium hotels, inns and guest houses. It is designed to be
simple to use and affordable, yet still provide the full customisation required
for individual businesses. When linked with POScontroller, our EPOS system, it provides a complete software solution.
How will it help my business?
Reservations Manager can help every section of your business, lets take a look
at what it can do for each department:
Reception
The front desk will now have a graphical colour coded planner
showing the exact status of bookings for each room. A simple reservation
wizard makes the whole booking process simple, providing the receptionist with
the correct prices and allowing them to easily pull up the details of previous
customers. If the postcode module is added, the receptionist may search
for the guest's address just by entering their post code. Once the
reservation is complete, automatic booking confirmation letters containing the full
terms and conditions of booking can be printed, or emailed directly to the
customer. Reception will also get a confirmation email whenever an online
booking is made so that they can update offline systems.
Check in is easy with the system allowing the receptionist to print out guest
arrival forms containing the guest details and important terms and conditions in
advance of their arrival. When the guest arrives a securely stored
swipe of the guest's credit card may be taken for security.
On check out, bills can be individually printed, or reception can print all of
the bills for the day in one go.
Housekeeping
A simple daily report shows the housekeepers all check outs, check ins and
refreshes. It also reports on the occupancy of each room so that the
number of towels and toiletries can be adjusted if, for example a double room
has been sold for single occupancy, helping to save money on the housekeeping
budget. Any special requests from the guests, such as for flowers or
champagne in the room are also shown on the report.
Bar & Restaurant
Reservations Manager has a built in table reservation module allowing you to
fully control your restaurant table bookings. Each table's capacity may be
set, and tables may be grouped to suit your restaurants requirements. Bookings
from hotel guests may be added, and if the room is cancelled, the restaurant
booking will be cancelled automatically as well. The system can also be
confirgured to send SMS confirmation to customers at the time of booking.
With the addition of our EPOS solution,
POScontroller, which fully integrates with
Reservations Manager, you will have a system that allows you to easily manage resident's bar and restaurant
bills and save them to the room bill. POScontroller
is easy to use, requiring minimal training, yet provides an extensive range of
features that are useful to bars and restaurants, including a complete stock
control system, table management and much more.
Management
Reservations Manager will provide the management team with an extensive range of
reports detailing items such as occupancy rates and booking sources which can be
extremely useful when setting hotel tariffs. The reservation planner
allows management to easily identify which rooms have been booked by travel
agencies and internet booking providers and which rooms are just being held,
potentially blocking business.
During quiet times, the daily price manager can be used to offer late booking
discounts and improve occupancy rates. Rates altered on the daily price
manager are imediately reflected on your website if you use our online booking
module.
After time, the residents database will build up allowing you to create
marketing emails or newsletters to past guests. For hotels or inns with
restaurants, you may also use this tool to create a restaurant mailing database.
This may be used for marketing your restaurant by sending emails or SMS text
messages directly from the system.
If POScontroller is added to the solution the system will also provide complete
reports on all food, drink and miscellaneous sales and live stock control
status. It can also be used to track the effectiveness of marketing
campaigns and therefore help you plan your marketing budget.
Each POScontroller till will automatically create journals at the end of a
shift, or the end of the day which will shown any till variances. The
journal can be directly exported into your Sage accounting software.
Guests
Our online booking module will allow you to take commission free bookings
directly from your website, which are immediately confirmed to the guest via
email. On arrival the guests details are already printed onto their
arrivals form, speeding up the check in process. For previous guests making
a reservation over the phone, you can quickly call up their details by searching
on name or address, saving the guest time during the reservation process.
Notes can be added to the booking of any special requirements that the guest
has, which can then be viewed by reception and housekeeping.
Online Booking
Today a large percentage of room bookings are made online and no hotel can
aford to miss out on this, no matter how small they are. However,
many booking agents charge you commission, sometimes 15% or more!
Therefore, there are many benefits to taking online bookings directly
from your own website.
Reservations Manager allows you to take commission free bookings directly from your own website
in real time and because your guests are booking directly with
you there is no data to enter (from online
booking email / faxes etc), no hidden costs, and no manual staff
intervention - freeing your staff up to look after customers!

control a simple process.

Accounting
If you use our POScontroller module, the system will produce journals
each time a Z reading is taken on a till. The journal will show the
accountant if the till has balanced and what the breakdown is of net
sales and VAT. These journals can then be exported directly into Sage
accounting software.
The system will also allow the accountant to view the current stock value, the
total number of deposits held, as well as sales and item profit reports.
WI-FI Management
POScontroller and Reservations
Manager have built in links to enable communication with
Antamedia's Hotspot Software
(sold seperately). This will alllow you to implement an easy to use WI-FI
solution for your customers that will enable bandwidth and time limits as well
as usage logging, all of which are essential for limiting the chances of illegal
downloads via your sites WI-FI.
The system will allow you to print individual usage tickets from any till
(reducing the need for any further user training). Tickets can be charged
at different prices for different time and download limits.
